Personal assistant

Miinto is an innovative and fast-paced online marketplace in the fashion industry. We are market leaders in the Nordic countries; this position will be built in several other European countries through organic growth and M&A. For our CEO we are looking for a personal assistant.

The PA is backup for our CEO on phone, e-mail, and personal from the HQ in Copenhagen. The candidate for this position ideally has a PA background with minimum 2 years of PA experience. Affinity or experience with fashion is preferred.

Key responsibilities and accountabilities

o Perform a wide variety of confidential executive secretarial and administrative duties.
o Provide timely, effective diary management by prioritizing and organizing meetings with internal and external stakeholders in consultation with the CEO.
o Resolve conflicting demands upon the CEO’s time from reporting staff, senior managers within organization and representatives of internal and external stakeholders.
o Coordinate the submission of key documents to the CEO to ensure all relevant information is provided prior to appointments and meetings.
o Provide a full range of administrative and clerical support services, including filing and records management;, mail, maintenance of registers and routine databases, photocopying, compilation of manuals and reports.
o Review and record all incoming correspondence and emails, including allocating, redirecting to appropriate officers for action and following up on the preparation of responses.
o Ensure all outgoing correspondence, reports, submissions and briefings submitted to the CEO conform to the organization’s presentation, style, format and content protocols.
o Overseeing the movement of files and documents both electronic and hard copy to and from the CEO’s office.
o Prepare all Power Point presentations.
o Coordinate domestic and overseas conference travel and accommodation arrangements
o Organize meetings, workshops and related functions.
o Provide timely, efficient secretarial services, including minute taking, and related administrative support to meetings, workshops and related forums as required.
o Responsible for our group Intranet Podio
o HR, prepare contracts, update employee handbooks and Group policy
o Experience in a PA role
o Great Danish and English skills
o Mobile to travel when needed
o Affinity with the fashion industry
o Excellent communication skills and a robust personality
o Ability to multi-task
o Solution, process, and result oriented
o Structured
o Experienced MS Office user
